# How to update or amend a VA claim

> Understand the difference between adding evidence to a pending VA claim, filing for another condition, and requesting review after a decision.

First identify what you want to change and whether VA has already decided the issue. Adding evidence to a pending initial claim and challenging a decision use different processes. An evidence upload does not file a new claim.

Open the correct claim in VA’s claim status tool. Its Files tab provides an Additional evidence area. Check that the record belongs to that claim, upload through the official tool, and keep the confirmation with your own copy.

VA says this tool’s evidence upload is for initial claims, not decision reviews or appeals. It also says not to upload claim forms there. A successful file upload is not a substitute for submitting the required application.

## [If you need to correct information or claim another condition](#if-you-need-to-correct-information-or-claim-another-condition)

Write down exactly what is wrong: for example, a treatment date in your statement, a missing record, or a condition you have not claimed. Avoid the vague instruction ‘amend everything.’ A precise description helps VA or an accredited representative identify the right submission route.

Use VA’s filing instructions for a new disability claim. If you are unsure whether your change requires a new application, contact VA or an accredited representative before assuming an attachment will add it. Save the answer and submission receipt in your own records.

Read the decision letter and its review instructions. A Supplemental Claim can introduce new and relevant evidence; a Higher-Level Review considers the existing record; a Board Appeal has different review options. Uploading a correction to an old claim is not the same as selecting a decision review.

Make a short list of the issues you disagree with and the evidence or error involved. Check the deadline that applies to your decision and chosen review process before spending time polishing a statement.

# VA payment codes: verify an unexpected deposit

> Check an unfamiliar VA deposit against official payment history and your decision letter, and prepare clear questions for VA or your bank.

Start with VA’s payment history and your decision letter. Treat a bank’s abbreviated payment description as a clue to verify. It cannot tell you every detail of a claim decision, and this guide does not turn an unfamiliar code into a promised rating or backpay award.

VA’s payment history tool lists past disability compensation, pension, and education payments for veterans, as well as certain survivor payments. Open it directly on VA.gov and compare the amount and date with your bank’s transaction.

Keep those details in your own notes. If you have several VA benefits, check the payment’s benefit type instead of assuming every deposit relates to the disability claim you are waiting on.

Use the decision letter to understand what VA decided. A payment entry and a claim’s decision letter serve different purposes. Do not use the size of an unexpected deposit as a substitute for reading the actual award or denial.

If you are still waiting for a letter, check whether it is available in the claim status tool. Save the letter alongside your own payment comparison once it arrives so you can ask a specific question about any difference.

## [Prepare a clear verification question](#prepare-a-clear-verification-question)

Write down the transaction date, amount, and exact description, then compare them with the entry on VA.gov. Ask VA which benefit and period a payment covers. Ask your bank about the transaction information it can provide if the description is unclear.

A useful question is: ‘My bank shows this deposit on [date], but I cannot match it to this VA payment entry. Which benefit and payment period does it cover?’ Keep bank account numbers, screenshots, and personal claim records out of public discussion threads. This page does not ask you to upload banking information.

Begin with your decision letter, not a generic appeal template. Identify each denied issue, VA’s explanation, and the review instructions. Then compare the available review options with the evidence or error you need VA to consider.

Download or keep the complete decision letter. In your own notes, pair each disputed issue with the reason you disagree and the page or record that supports your concern. Keep granted and denied issues separate so the request is specific.

For example, ‘I disagree with everything’ does not tell a reviewer where to look. ‘The decision says there is no treatment record; my clinic record dated [date] addresses that point’ gives you a concrete question to discuss with an accredited representative. This example is an organizing method, not a prediction of an outcome.

## [Match the review to the evidence](#match-the-review-to-the-evidence)

A Supplemental Claim is the route to consider when you have new and relevant evidence. A Higher-Level Review is based on the record already considered and cannot accept new evidence. A Board Appeal is reviewed by a Veterans Law Judge; its Direct Review, Evidence Submission, and Hearing options have different evidence rules.

The choice depends on your decision and procedural history. Do not attach new medical records to a Higher-Level Review expecting them to be considered as new evidence.

## [Check eligibility and deadlines before drafting](#check-eligibility-and-deadlines-before-drafting)

VA generally requires a Higher-Level Review request within one year of the date on the initial or Supplemental Claim decision letter. It is not available after another Higher-Level Review or a Board Appeal on the same issue. Other review routes have their own rules.

Read the instructions supplied with your decision and the current VA page for your chosen route. An accredited attorney, claims agent, or VSO representative can help you choose. AIVA’s preparation tools do not replace accredited representation or submit a review request for you.

Start with the condition you are claiming and the evidence VA needs for that claim type. Organize records by what they show, then identify what is missing. You can print this checklist without creating an account.

## [Build a small evidence index](#build-a-small-evidence-index)

Create one row in your own notes for each claimed condition. Record the document name, date, page, and what it shows. A diagnosis, an event during service, and a connection between them answer different questions; one record may not establish all three.

For an original service-connected claim, VA generally looks for a current disability, an in-service event or illness, and a link. Presumptive conditions and different types of service have their own requirements. Use VA’s evidence page for the claim type that actually applies to you.

## [Collect records and identify missing ones](#collect-records-and-identify-missing-ones)

Gather separation documents, service treatment records, and relevant medical records, or provide VA the information and permission needed to obtain them. Keep the facility name and treatment dates alongside each missing record so a request is specific.

Separate a record you already possess from one you have requested. A practical tracking note might say: ‘Orthopedics visit, March 2025; requested from clinic; not yet received.’ Do not describe a request as evidence already in VA’s file.

## [Use statements for firsthand observations](#use-statements-for-firsthand-observations)

A personal or buddy statement can explain events and symptoms someone actually observed. Name the approximate dates, describe the observation, and distinguish personal knowledge from something another person told you. VA accepts lay evidence and provides forms for it.

Keep a working copy of your index and copies of the documents you send. Before submitting, compare your package with the application’s current instructions and any specific evidence request from VA.

Confirm your appointment, submit new non-VA medical records before the exam, and prepare to describe your actual symptoms and daily limitations accurately. A C&P exam gathers claim evidence; it is not a treatment visit or a promise of a rating.

Check the appointment letter for the location, time, and scheduling contact. Confirm the appointment and request transportation help or accommodations when you need them. If you need to reschedule, VA says to tell the medical center or contractor at least 48 hours in advance; contractor rescheduling has additional limits.

Plan your route or video connection ahead of time. VA advises arriving 15 minutes early and wearing clothing that lets you move comfortably. Follow any specific instructions in your appointment letter.

VA advises submitting new non-VA medical records before your appointment. Bringing records to the examiner does not place them in the claim file: the provider may read them but cannot submit them for you.

Keep a copy and a receipt for what you submit. You can make a short personal note of treatment dates, symptom patterns, and concrete examples of daily difficulties. Use it to remember your experience accurately; do not copy another veteran’s symptoms or rehearse claims that are not true for you.

## [Understand the exam and what follows](#understand-the-exam-and-what-follows)

The examiner may ask questions, examine you, or request tests. The exam is for gathering evidence, so the provider does not prescribe treatment or decide your claim. Ask the examiner if you do not understand a question or what a requested movement involves.

Afterward, the examiner sends a report to VA. VA considers it with the rest of your evidence. If something concerning happened, write a factual account while you remember it and use VA’s listed feedback channels. You can request the final exam report using VA’s Privacy Act or FOIA request process.

Use VA.gov’s claim status tool for the official status of your claim, decision review, or appeal. Check outstanding requests and available decision letters. A status label does not give an exact decision date or establish a disability rating.

Sign in to VA’s claim status tool using the sign-in options VA provides. Check the claim type and claimed issues before reviewing updates. A separate claim or decision review may have its own entry.

Read requests for additional evidence and keep their response dates in your own calendar. A useful note includes the request, when you received it, what you sent, and the confirmation. This avoids relying on memory when you contact VA.

## [An absent document does not always mean it was lost](#an-absent-document-does-not-always-mean-it-was-lost)

VA says the tool does not show documents delivered in person or sent by mail or fax. It also omits some documents to protect privacy. Compare the upload list with how you actually submitted the item before concluding that VA lacks it.

If you need confirmation, keep the delivery receipt or upload confirmation ready when contacting VA. Ask about the particular document and date rather than repeatedly sending an entire packet without checking what is needed.

## [Use the decision letter for the decision](#use-the-decision-letter-for-the-decision)

VA’s status tool cannot give an exact decision date. For some claims and reviews, you can download a decision letter when it is ready. Read that letter for the result and review instructions rather than inferring approval from a status change.

If your status appears unchanged, check for requests you can respond to and contact VA about your specific case if you need clarification. A national processing average or another veteran’s timeline is not a deadline for your claim.

## How the calculation works

Ratings are combined from highest to lowest using the whole-number results in the VA table. The final value rounds to the nearest 10%, with 5 rounding up. Example: 50% and 30% combine to 65%; adding 10% gives 69%, which rounds to 70%.

For eligible paired limbs, the calculator combines their ratings first, adds 10% of that value, and rounds the group to a whole number before combining it with other ratings. It also checks exclusions from the bilateral group and keeps a higher final rating when the exception applies.

This estimates combined-rating math only. It does not decide service connection, bilateral eligibility, TDIU, special monthly compensation, amputation limits, or payment amounts. Paired skeletal muscle cases and conditions with a single bilateral diagnostic-code rating need individual review; do not split one assigned rating into two entries. AIVA accepts PDF, JPG, PNG, and TIFF files. Most VA medical records come as PDFs which work perfectly. If you have paper records, you can scan or photograph them.

### Is my information secure?

Yes. AIVA uses bank-grade encryption (AES-256 in transit and at rest) and follows healthcare-industry privacy practices. Your medical records and personal information are stored securely and never shared with third parties without your explicit consent.

### Which AI model processes my claim?

AIVA's AI-assisted claim chat and support chat run on Cloudflare Workers AI, a first-party service on Cloudflare's network (Cloudflare is already AIVA's hosting provider). Per Cloudflare's published Workers AI data policy, inference content is not used to train models and is not retained. The Benefits Finder does not send form inputs to an AI model; it filters a fixed catalog of official government sources by VA disability rating. Document analysis and nexus-letter drafting happen in AIVA's local processing pipeline — they are not sent to a third-party AI gateway by this website. AIVA Claims Assistant ("AIVA," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered VA claims assistance platform.

## 2. Information We Collect

### Personal Information

- Name and email address (for account creation)
- Mobile or landline phone number, if you choose to give us one so our team can follow up with you by call or text. Providing a phone number is optional and you can use AIVA without it. See [SMS / Text Messaging](#sms) for how we use it.
- Authentication data (email, password hash, passkeys, two-factor enrollment) — handled by AIVA directly and stored in our own database. We do not use a third-party authentication service to hold your credentials. If you choose "Continue with Google" or "Continue with Apple", that provider confirms your identity to us and shares your email and name; your Google or Apple password is never sent to AIVA. Email/password and email-code sign-in never contact Google or Apple.
- Documents you upload (medical records, service records)
- Information you provide in forms and claim documents

### Chrome extension (AIVA VA Claim Helper)

The AIVA VA Claim Helper is a Manifest V3 Chrome extension. Its single purpose is a local, plain-English summary of a VA.gov disability rating, claim, or appeal using JSON that VA.gov already sent that page, plus links to official VA.gov tools and to aivaclaims.com. It does not file, change, or message VA.gov for you.

- Rating and claim JSON stays on your computer in `chrome.storage.local` after you tap **Keep summaries on this computer** in the extension popup. The extension does not transmit that JSON, cookies, or VA session tokens to AIVA or anyone else.
- If you click a link to aivaclaims.com, the website (not the extension) records a first-party visit cookie (`__Host-aiva_visit`) and UTM parameters (`utm_source=aiva-va-claim-helper`, `utm_medium=chrome-extension`) so we can see that traffic came from the helper. Those clicks do not include claim JSON.
- Official VA.gov and Ask VA links in the helper go directly to VA. They are not wrapped through AIVA.
- The extension contains no remote-hosted code. Host access is limited to VA.gov claim-status and ratings pages as disclosed in the Chrome Web Store listing.

The use of information received from Google APIs will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements.

If you give us your mobile phone number and agree to receive text messages, AIVA may text you about your account and your claim. Giving us a mobile number and agreeing to texts is always optional — every part of AIVA works without it, and we will never require it in order to help you with a claim.

- \**Message and data rates may apply.**

- Carriers are not liable for delayed or undelivered messages.
- Opting out of text messages does not close your account or stop the email we send about your claim.

\**Text messaging originator opt-in data and consent will not be shared with any third parties.** We do not share mobile information with third parties or affiliates for marketing or promotional purposes. No mobile information is sold, rented, or released to data brokers or lead aggregators.

Telnyx is our messaging provider. It processes your phone number and the content of the messages only to deliver the texts you asked for, acting on AIVA's instructions as a service provider — not as a third party receiving your consent data for its own use.

- The website sends the AI only your typed questions, a lightweight summary of your claim status (claim type, current step, and intent-to-file flag).
- The Benefits Finder does not send form inputs to an AI model. It filters a fixed catalog of official government sources by VA disability rating.
- It does **not** upload your documents, and it does **not** draft nexus letters through this website. Nexus-letter drafting and medical-record analysis are performed in AIVA's local processing pipeline and are **not transmitted to any third-party AI gateway by this website**.
- We do not sell, rent, or share your claim content with advertisers, data brokers, or other third parties.
- We do not opt your data into model training.
- AI output is a draft for your review — you always decide what gets submitted to the VA.

"Private Doctors Records" lets you pull your own medical records from a hospital or clinic that offers a patient-access API (for example, an Epic MyChart portal) and use them to prepare your claim. This is optional. AIVA works without it.

### What we request

When you connect, AIVA asks your organization for read-only access to these record types, and only for you (the signed-in patient): Patient (name, date of birth, sex), Condition (diagnoses), Procedure, MedicationRequest, Observation (lab results, vital signs, social history), DiagnosticReport, DocumentReference and Binary (clinical notes and attached documents), Encounter (visits), AllergyIntolerance, and Immunization. We never request write access, and we cannot see or store your patient-portal password: you sign in on your organization's own website.

### Where the data goes

- \**Retrieval happens in your browser** for a one-time connection. Your browser talks directly to your organization's patient API. Your records and the access token do not pass through AIVA's servers during retrieval.
- \**Nothing is stored unless you choose to import.** When the retrieval finishes, AIVA shows you what it found and asks whether to import it. If you import, AIVA saves the structured record set (diagnoses, procedures, visits, medications, lab results) to your account, writes a plain-text summary into your secure documents folder, and shows you the clinical documents it found so you can pick which, if any, to upload. If you discard, or close the page, nothing leaves your browser.
- \**How it is used.** Only to prepare your VA claim: the summary and any documents you upload are analyzed the same way as records you upload yourself (see [How AI Processes Your Claim](#ai-processing)).
- \**Not sold, no secondary use.** We do not sell your records, do not use them for advertising or research, do not use them to train AI models, and do not transfer them to any third party other than the subprocessors listed above that store and process data on AIVA's behalf.
- \**Retention.** Imported records follow the "Uploaded documents" window in section 9: kept while your account is active; deleted within 30 days of account closure or on request.
- \**Record of use.** Each connection and import is logged (organization name, record counts, date, your account id) so you can ask us who accessed what and when. The log never contains the records themselves.

### Keeping a connection (optional)

For organizations on athenahealth, the connect page offers one checkbox: "Keep AIVA connected to refresh my records automatically." It is unchecked unless you check it. If you do, and you then choose to import, AIVA stores one thing on its servers: an encrypted refresh token issued by your organization (never your password, and never a standing access token). Once a day, for connections you chose to keep and only those, AIVA's servers use that token to fetch the same structured record set (diagnoses, procedures, visits, medications, lab results) and save it to your account exactly as an import does. Clinical documents are not fetched this way; those are still retrieved only in your browser, where you pick what to upload. You can disconnect at any time from the connect page (aivaclaims.com/ehr/connect, "Connected practices", Disconnect) or by emailing help@aivaclaims.com; disconnecting stops the refreshes and discards the token. Your organization can also revoke the token on its side, which ends the connection the next time AIVA tries to use it.

### Revoking access

Unless you kept a connection as described above, AIVA does not keep a standing connection to your organization: each import uses a one-time authorization that expires on its own. To remove AIVA from your organization's list of connected apps, use your patient portal's settings (in MyChart: Menu, Security Settings, Linked Apps and Devices; in an athenahealth patient portal, the connected-apps settings). To delete imported records from AIVA, delete them from your documents folder or email [help@aivaclaims.com](mailto:help@aivaclaims.com).

## 8. Data Security

We implement industry-standard security measures including:

- TLS/SSL encryption for all data in transit
- Encrypted storage for sensitive documents
- First-party authentication (passwords stored only as salted hashes; optional passkeys and two-factor authentication)
- Regular security audits and monitoring
- Access controls and audit logging

## 9. Data Retention

We keep your data only as long as we need it. The table below shows our default retention windows; shorter periods apply on request.

- \**Account & profile data** — kept while your account is active; deleted within 30 days of account closure.
- \**Uploaded documents** (medical records, service records) — kept while your account is active; deleted within 30 days of account closure or on request.
- \**AI chat history & drafts** — kept for active claim reference; deleted with the account or on request.
- \**Server logs & error events** — automatically purged after 90 days.
- \**Analytics events** — kept for up to 14 months, then aggregated or deleted.
- \**Billing / tax records** — retained for 7 years where required by IRS / state tax law.

You can request deletion at any time by emailing [help@aivaclaims.com](mailto:help@aivaclaims.com). We will complete the deletion within 45 days and confirm in writing.

## 10. Breach Notification

If we discover a security incident that compromises your personal information we will notify affected users and the required regulators. Our internal commitment:

- Initial investigation and containment within 24 hours of discovery.
- Notification to affected users without undue delay, and in any case within **72 hours** of confirming an EU/UK resident is affected (GDPR Art. 33).
- Notification to affected users within the timeframes set by each applicable US state breach-notification law (generally 30-60 days).
- A post-incident summary explaining what happened, what we changed, and what you can do to protect yourself.

## 11. Your Rights

Depending on where you live, you may have additional rights under California (CCPA/CPRA), EU/UK (GDPR), or other state privacy laws. Exercising these rights is free and will never result in worse service or higher prices.

### California residents: Do Not Sell or Share My Personal Information

\**AIVA does not sell your personal information**, and we do not share it for cross-context behavioral advertising. We also do not use third-party advertising cookies, Meta / Facebook pixels, or session-replay tools.

If your browser sends a Global Privacy Control (GPC) signal we will treat it as a valid Do-Not-Sell / Do-Not-Share request. You can also exercise any privacy right (access, deletion, correction, opt-out) by emailing [help@aivaclaims.com](mailto:help@aivaclaims.com). We will respond within 45 days as required by CPRA §1798.130.

### EU / UK residents (GDPR)

In addition to the rights above, you have the right to restrict or object to processing, to withdraw consent at any time, and to lodge a complaint with your local supervisory authority. Our lawful basis for processing is consent (optional cookies, marketing) and contract performance (account, claim preparation).

Our services are not intended for individuals under 18 years of age. We do not knowingly collect personal information from children.

AIVA uses three kinds of cookies:

- \**Strictly necessary** — sign-in, security, saved form progress, and the support chat so you can always reach support. Always on because the site cannot work without them.
- \**Visit measurement** — `__Host-aiva_visit`, a first-party cookie holding a random ID (no name, email, or claim data). It is set on your first page view, lasts 90 days, and is readable only by our own server — never by an advertiser. It remembers which link, campaign, or ad brought you to the site (the utm and click parameters in the address you arrived on, the page you landed on, and the referring site's hostname — never your IP address or device details). When you ask us for help or create an account, that source is recorded with your contact request or account so we know which outreach actually reaches veterans. It is never sold or shared, is not used to make any decision about your claim, and is not combined with your medical information.
- \**Analytics** — first-party, cookieless page-view analytics (Traks). It sets no cookies and stores no personal data, runs by default, and stops the moment you decline in the cookie banner. It helps us see which pages veterans use.

AIVA does not use Meta / Facebook tracking pixels, advertising cookies, or third-party behavioral ad networks. We respect the Global Privacy Control (GPC) browser signal as an automatic opt-out of analytics.

AIVA Claims is not a law firm, a medical provider, or a VA-accredited claims agent. Our AI-generated summaries, nexus letter drafts, and buddy letter drafts are templates intended for your review and, where appropriate, review by a licensed professional before you submit them to the VA. Use of this service does not create an attorney-client or doctor-patient relationship.

## 2. No Guarantee of Outcomes

\**Results Not Guaranteed:** While our AI tools are designed to identify potential service-connected disabilities, AiVAclaims.com does not guarantee any specific VA disability rating, benefit amount, or timeline. The Department of Veterans Affairs (VA) is the sole authority for determining benefit eligibility. Any "lifetime value" calculations provided on this site are estimates based on current VA pay tables and are for illustrative purposes only.

## 3. User Responsibility & Verification

\**Accuracy of Submissions:** The User acknowledges that AI-generated content may contain inaccuracies or "hallucinations." The User assumes 100% responsibility for reviewing all generated documents (including Injury Statements and Nexus Letters) for accuracy and truthfulness before submitting them to the VA. Submitting false information to the federal government carries severe legal penalties; AiVAclaims.com shall not be held liable for any inaccuracies in user-submitted claims.

## 4. Limitation of Liability

\**Limitation of Damages:** To the maximum extent permitted by law, AiVAclaims.com’s total liability for any claim arising out of our services shall be limited to the total amount paid by the User to AiVAclaims.com. ## 5. Compliance with 38 U.S.C. § 5904

\**No Fees.** AiVAclaims.com does not charge veterans for the use of this Service. AIVA is donor-funded, and access to our data-analysis software and document-preparation tools is provided at no cost to the veteran. We do not charge a "contingency fee," a percentage of any retroactive award, or any other fee tied to the outcome of a claim.

\**Not Legal Representation.** Nothing in this Service constitutes legal representation, and AiVAclaims.com is not acting as your agent or attorney before the Department of Veterans Affairs. We do not prepare, present, or prosecute a claim on your behalf under 38 U.S.C. § 5904; you remain the claimant. For representation, veterans may work with a VA-accredited representative, including an accredited Veterans Service Organization, at no charge.

## 6. SMS / Text Messaging Program

\**Program and sender.** AIVA Claims, a program of ESBE Incorporated, offers optional text-message updates about your account and your VA claim. Messages are sent by AIVA Claims.
